Highlights of ASH in North America

Satellite Symposia

Satellite Symposia are industry-sponsored, CME-accredited programs offered in conjunction with ASH specialty meetings. These events are planned solely by the sponsoring company and are not part of official ASH programming. Registration to the ASH meeting is not required to attend, and there is no fee to participate.

Assigned on a first-come, first-served basis

  • Friday, January 15, 2027, 6:00-8:00 p.m. – Chicago, IL (Hyatt Centric Chicago Magnificent Mile)
  • Friday, January 22, 2027, 6:00-8:00 p.m. – New York, NY (Conrad New York)
  • Friday, January 22, 2027, 6:00-8:00 p.m. – Seattle, WA (Fairmont Olympic)
  • Friday, January 29, 2027, 6:00-8:00 p.m. – Washington, DC (Omni Shoreham)

Venue capacity ranges from 80-250 attendees depending on location.

Virtual Sessions

Virtual-only symposia are scheduled during program time slots and posted to hematology.org. Indicate "virtual only symposium" in the "Additional Audio Visual Needs" section or notify kcade@hematology.org.

On-Demand

On-demand programming opportunities are available to all organizers of both in-person and virtual sessions.

Application Requirements

All applications are subject to review and approval by the Satellite Symposia Study Section.

  • Applications must be signed by a single Organizer who accepts responsibility for the program and adherence to ASH guidelines
  • Designate one point of contact for all ASH communications
  • Incomplete applications will not be reviewed
  • Be accurate and detailed—ASH will email application content verbatim to pre-registered attendees
  • Notify ASH of any changes after submission (organizer, CME provider, commercial supporters, speakers, topics, or title)
  • ASH will accept up to two applications from one company as sole commercial supporter; no limit for multi-company-supported symposia

Fees

$13,500 flat rate per symposium (in-person or virtual)

  • Payment to the American Society of Hematology required at submission
  • Funding commitment letter required from all supporting companies
  • ASH is not responsible for symposium-related expenses (room setup, F&B, A/V, electrical, internet, shipping, etc.)
  • Additional fees may apply for special requests

In-Person Program Requirements

  • ASH meeting registration not required for admittance
  • All faculty and presenters must participate on-site
  • Room assignments are final; coordinate changes directly with hotel and inform kcade@hematology.org
  • On-site registration limited to one six-foot table outside symposium room
  • Organizers responsible for registration materials (tables, easels, stanchions, etc.)
  • Organizers responsible for securing Lead Retrieval if desired
  • Early access provided for setup—coordinate timing with venue
  • Presentations must remain within assigned room; no video overflow permitted
  • Registration and food functions must occur within assigned time frame only
  • Organizers arrange all A/V needs directly with hotel provider or hotel-approved third-party vendor

Program Content

Symposia must be unique and address an unmet educational need.

  • Title must reflect symposium content
  • Objectives must clearly meet target audience educational needs
  • Content must be objective, balanced, and scientifically rigorous
  • Cannot promote specific products/services; must meet ACCME policies
  • Must promote healthcare quality improvements, not proprietary business interests

Speakers

Highlights of ASH in North America program speakers are strictly prohibited from participating in Satellite Symposia. No exceptions.

  • Disclosure information for each speaker must be submitted with application
  • Invitation letters must clearly state ASH expects speakers will not substitute symposium participation for ASH meeting participation

Continuing Medical Education (CME)

Only ACCME-accredited organizations may sponsor CME activities and award AMA PRA Category 1 Credit™. Accredited providers are responsible for content, quality, and scientific integrity.

ASH does not suggest or approve content or speakers for activities where it is not the accredited provider. Review current ACCME Standards for Commercial Support at www.accme.org.

Requirements:

  • Speakers must disclose relevant conflicts of interest with written disclosure slide before each presentation
  • Speakers must disclose non-FDA approved (off-label) uses for drugs/devices
  • References must accompany data and slides
  • Evaluation of content, speakers, and final attendance count required
  • Email evaluation summary to kcade@hematology.org within 30 days after program

Application and Scoring Process

  • Study section scores applications based on scientific merit, audience interest, and uniqueness
  • Study section scores determine selection
  • Do not contact study section, ASH members, or Executive Committee to influence selections
  • Scores are confidential; decisions are final
  • Acceptance notifications include logistics details (venue assignments, contacts), invoice, and letter of agreement

Promotion of Satellite Symposia

ASH must review and approve all promotional materials (invitations, announcements, fliers, websites, signs). Allow up to five business days for approval.

Requirements:

  • ASH logo or similar graphics may not be used on any materials
  • Use of "American Society of Hematology" name or copyrighted material requires prior written approval (email kcade@hematology.org)
  • Cannot reference symposia as part of official ASH meeting or imply they are ASH events
  • Acceptable reference: "Satellite Symposium on [title], following the adjournment of the first day of the [ASH meeting]"

In-Person Signage Policies

Permitted signage:

  • One 38"x87" meter panel/poster/banner with program handouts outside symposium room, next to registration desk
  • One 22"x28" directional sign at hotel-approved locations
  • One 22"x28" directional sign at ASH meeting session room exits (30 minutes prior to program close)

Prohibited:

  • Additional signage or promotional materials (logoed seating, furniture covers, gobos, video monitors, kiosks, projectors outside meeting room)
  • Signs or literature in hotel lobbies
  • Sandwich boards
  • Persons distributing promotional materials
  • Standing in public areas to promote symposia

Violations will result in removal/disposal of items. Management companies must also follow these guidelines.

Promotional Benefits from ASH

  • Listing on ASH website (description, location, contact info, registration/program links)
  • Email blasts to registered attendees (title, time, location)
  • Pre-registration attendee mailing list available for purchase (ASH pre-approval of mail pieces required; contact Kristin Hudson at 800-564-4220 or ashexhibits@spargoinc.com)

Educational Materials

Submit a one-page evaluation summary with final attendance count to kcade@hematology.org by the deadline (see Important Dates).

Note: CME enduring materials differ from symposium records. Enduring materials are standalone educational activities requiring separate needs assessment, objectives, content, evaluation, and CME credit.

Priority Points

ASH assigns exhibitor priority points based on three years of support (2025, 2026, 2027), which determines future exhibit booth and group housing placement for the ASH Annual Meeting and Exposition.

Earn one point for every $2,500 in symposium support.

Penalties for Violating ASH Policies

  • Reduced priority points
  • Ineligibility for future Satellite Symposia
  • Loss of access to ancillary meeting space
  • Prohibition from future exhibitor participation

Cancellation Policy

Submit all cancellations in writing to kcade@hematology.org.

Event Cancellation: If the meeting is cancelled due to strikes, acts of God, war, terrorism, disaster, government regulations, or other causes preventing its opening or continuance, this agreement terminates immediately. ASH will determine an equitable refund basis after considering expenditures and commitments already made.
